Multiple Stock Adjustments

The Multiple Item Adjustments screen can be used to process a manual adjustment for multiple items simultaneously, adjusting items in or out of stock, transferring stock to quarantine, or performing a project issue or return . To process an adjustment, select the appropriate ‘Adjustment Type’ based on the transaction you want to carry out.

Adjustment Defaults

Enter a default reference, details and transaction date for each of the adjustments that are about to be processed. These can be overridden individually on each adjustment line as required. Depending on the transaction type you are processing, other default options may be available.

Once you have confirmed the adjustment type you want to process, along with any default values, press Confirm to start processing adjustment.

Note: If you had any items selected on the main stock item list before accessing this screen, the adjustment items list will pre-populate with those selected items.

Columns: The columns button allows you add additional columns to the grid to allow for quicker/easier data entry.

Column selection works in the same way as outlined in section 2.1.1.2. The columns available for selection include the “Additional Info” traceable fields, such as ‘Use By Date’, ‘Sell By Date’ and ‘Notes’, along with any Traceable Analysis Codes that have been setup in the system.

 

Further details for processing each adjustment type are below.

Adjustment In

To adjust multiple items out, populate the adjustment grid using the information below.

Stock Code: This is the stock code that you wish to adjust. If you type into the next empty row on the grid, a filtered list of available stock codes that match what you have typed will be displayed.

Batch/Serial Number: If an item is traceable, the system checks the configuration of the stock item selected to determine whether the batch/serial number should be automatically generated or manually entered. For items which are automatically generated, you will see the next batch/serial number pre-populated and will be unable to edit this. For manually entered items this will be blank and you will need to enter a unique batch/serial number before being able to process the adjustment.

Note: Non-traceable items will display a “-” and you will be unable to edit the value.

Description – Enter a description to be assigned to the batch/serial number.

Note: This will default to “-” and you will be unable to edit it for non-traceable items.

Supplier Batch – Enter a supplier batch number to be assigned to the batch/serial number.

Note: This will default to “-” and you will be unable to edit it for non-traceable items.

Certificate No. – Enter a supplier certificate number to be assigned to the batch/serial number.

Note: This will default to “-” and you will be unable to edit it for non-traceable items.

Reference – The reference that will be shown in the stock transaction history. This will be defaulted based on the default reference entered, but can be amended as required on each individual adjustment.

Details– The details that will be shown in the stock transaction history. This will be defaulted based on the default detail value entered, but can be amended as required on each individual adjustment.

Note: This will default to “-” and you will be unable to edit it for traceable items.

Date: The date of the transaction, this can be back or forward dated. This will be defaulted based on the default transaction date entered, but can be amended as required on each individual adjustment.

Location: The location you would like to book the stock into. This will default to the location defined on the stock record and cannot be amended when adjusting non-traceable items.

Quantity: The quantity you would like to adjust in.

Unit: The unit of measure relevant to the quantity that you are adjusting in.

Cost Price: The cost price to be used for the stock being booked in. This will default to the ‘Last Cost Price’ on the stock record.

Adjustment Out

To adjust multiple items out, populate the adjustment grid using the information below.

Stock Code: This is the stock code that you wish to adjust. If you type into the next empty row on the grid, a filtered list of available stock codes that match what you have typed will be displayed.

Batch/Serial Number: If an item is traceable, type the relevant batch/serial number that you want to adjust out. As you type, a filtered list of available batch/serial numbers that match what you have typed will be displayed.

Note: Non-traceable items will display a “-” and you will be unable to edit the value.

Description – The batch/serial Number Description associated with the selected batch/serial number

Note: Non-traceable items will display a “-”

Supplier Batch – The supplier batch number associated with the selected batch/serial number.

Note: Non-traceable items will display a “-”

Certificate No. – The supplier certificate number associated with the selected batch/serial number.

Note: Non-traceable items will display a “-”

Reference – The reference that will be shown in the stock transaction history. This will be defaulted based on the default reference entered, but can be amended as required on each individual adjustment.

Details– The details that will be shown in the stock transaction history. This will be defaulted based on the default detail value entered, but can be amended as required on each individual adjustment.

Note: This will default to “-” and you will be unable to edit it for traceable items.

Date: The date of the transaction, this can be back or forward dated. This will be defaulted based on the default transaction date entered, but can be amended as required on each individual adjustment.

Location: The location the stock is being adjusted out from.

Qty Available: The quantity that is available to be adjusted out of stock.

Quantity: The quantity you would like to adjust out.

Unit: The unit of measure relevant to the quantity that you are adjusting out.

Transfer

To transfer multiple items between locations, populate the adjustment grid using the information below.

Stock Code: This is the stock code that you wish to transfer. If you type into the next empty row on the grid, a filtered list of available stock codes that match what you have typed will be displayed.

Batch/Serial Number: If an item is traceable, type the relevant batch/serial number that you want to transfer. As you type, a filtered list of available batch/serial numbers that match what you have typed will be displayed.

Note: Non-traceable items will display a “-” and you will be unable to edit the value.

Description – The batch/serial Number Description associated with the selected batch/serial number

Note: Non-traceable items will display a “-”

Supplier Batch – The supplier batch number associated with the selected batch/serial number.

Current Location: The location the stock is being transferred from.

Qty Available: The quantity that is available to be transferred.

Transfer Location: The location you want to transfer the stock to. As you type, a filtered list of existing locations that match what you have typed will be displayed.

Transfer Qty: The quantity you would like to transfer.

Unit: The unit of measure relevant to the quantity that you are transferring.

Quarantine

To quarantine multiple items, populate the adjustment grid using the information below.

Stock Code: This is the stock code that you wish to quarantine. If you type into the next empty row on the grid, a filtered list of available stock codes that match what you have typed will be displayed.

Batch/Serial Number: If an item is traceable, type the relevant batch/serial number that you want to quarantine. As you type, a filtered list of available batch/serial numbers that match what you have typed will be displayed.

Note: Non-traceable items will display a “-” and you will be unable to edit the value.

Description – The batch/serial Number Description associated with the selected batch/serial number

Supplier Batch – The supplier batch number associated with the selected batch/serial number.

Quarantine Reason: The reason for quarantining the goods. This will be defaulted based on the default quarantine reason entered, but can be amended as required on each individual adjustment.

Quarantine: The quantity you would like to quarantine.

Unit: The unit of measure relevant to the quantity that you are quarantining.

Project Issue/Return

To process multiple project issues or returns, populate the adjustment grid using the information below.

Stock Code: This is the stock code that you wish to issue or return. If you type into the next empty row on the grid, a filtered list of available stock codes that match what you have typed will be displayed.

Batch/Serial Number: If an item is traceable, type the relevant batch/serial number that you want to issue or return. As you type, a filtered list of available batch/serial numbers that match what you have typed will be displayed.

Note: Non-traceable items will display a “-” and you will be unable to edit the value.

Note: When processing a project return, you can only enter a batch or serial number that has previously been issued to a project.

Description – The batch/serial number Description associated with the selected batch/serial number

Note: Non-traceable items will display a “-”

Supplier Batch – The supplier batch number associated with the selected batch/serial number.

Note: Non-traceable items will display a “-”

Certificate No. – The supplier certificate number associated with the selected batch/serial number.

Note: Non-traceable items will display a “-”

Project – The project reference that the stock will be issued to/returned from. This will be defaulted based on the default project reference entered, but can be amended as required on each individual adjustment.

Cost Code – The project cost code that the stock will be issued to/returned from. This will be defaulted based on the default project cost code entered, but can be amended as required on each individual adjustment.

Reference – The reference that will be shown in the stock transaction history. This will be defaulted based on the default reference entered, but can be amended as required on each individual adjustment.

Details– The details that will be shown in the stock transaction history. This will be defaulted based on the default detail value entered, but can be amended as required on each individual adjustment.

Note: This will default to “-” and you will be unable to edit it for traceable items.

Date: The date of the transaction, this can be back or forward dated. This will be defaulted based on the default transaction date entered, but can be amended as required on each individual adjustment.

Location: The location the stock is being issued from/returned to.

Qty Available: The quantity that is available to be issued to a project from stock, or the quantity that has been issued to the project that is available to be returned.

Note: This will display a “-” for non-traceable items.

Quantity: The quantity you would like to issue/return.

Unit: The unit of measure relevant to the quantity that you are adjusting out.
