Allocate stock to works orders

Allocating stock to Works Orders is an optional step in the life cycle of the Works Order.

Allocating stock can be useful in keeping item Free Stock quantities up to date, giving better insight into how much stock is available for other demands such as Sales Orders and other Works Orders.

The Allocate Stock step is enabled in Works Order Settings.  If the setting is not enabled, the Allocate Stock and Amend Allocation screens are not accessible.

When Allocate Stock is enabled, the stock can be allocated before it is issued, but it is not essential.

Use the Allocate Stock screen to allocate stock for single or multiple works orders.

Through this screen stock can be allocated automatically or manually.

In addition, additional components can be added to a Works Order and allocated on the fly.

Quantities entered must be valid for the stocked unit of the item. If not, they are automatically adjusted to the nearest appropriate value.

 

Outcomes from Allocating stock to Works Orders

  • Component stock items are allocated to the order(s), reducing their Free Stock levels in Stock Control. This effectively reserves the stock for production. The exception for this is Bulk Issue and Miscellaneous items, which are not adjusted in Stock Control when they are allocated.
  • The Allocated quantities for each component are increased on the order, visible on the Components tab on the Works Order record.
  • The Works Order Status will be set to Allocated if all components are fully allocated, or Part Allocated if any components are not fully allocated.

Allocate stock to multiple works orders

Open: Works Orders > Works Order List.

1. In the Works Order List, select the works order(s) you want to allocate.

2. Select the Allocate Stock button above the list view.

3. Set the Allocation Date. It will default to today’s date but can be overridden.

4. Using the tick box , untick to manually allocate each line or tick to automatically allocate all lines, according to available stock. The screen can be set to default as ticked or unticked using Allocate/Issue as much as possible by default option in Cim200 Works Orders > Utilities > System Set Up > Maintain Works Order Settings |General.

Note: If in Works Order Settings the option Allocate/Issue as much as possible by default is ticked and Auto Pick Traceable Quantities on Allocation is not ticked, Cim200 will prompt to allocate traceable numbers to traceable components as the Works Order Number is selected or the screen opens. These selections can be changed by highlighting the traceable component and clicking Select Traceability.

5. If the box is ticked to ‘allocate all components as much as possible’, leave the option next to it set to Allocate. The Allocate Now quantity will be updated on each line to the quantity remaining to allocate, or the available free stock level, whichever is lower.

  • Alternatively, to allocate the appropriate quantity required to make a certain number of the finished item, change to Suggest Qty.
  • Selecting Suggest Qty opens the Suggest Qty screen.  Enter the quantity of the finished item you want to allocate stock for and click OK to confirm.  The order will be allocated as much as possible to meet what is required to make that quantity.

6. If the box is unticked, set the quantity to Allocate in the Allocate Now column for each component line.

7. Click OK to complete the Allocations.

 

Allocate stock to single works orders

Open: Works Orders > Works Order List.

  • Select the works order to allocate.
  • Select the Allocate Stock button above the list view.

From the menu:

Open: Works Orders > Processing > Allocate Stock.

  • Type or select the Works Order Number from the drop-down list.

 

To Allocate as much stock as possible

1. Select the Allocation Date. It will default to today’s date but can be overridden.

2. Ensure the tick box is ticked and next to it Allocate is selected from the drop-down list.

3. The order will be automatically allocated, as much as possible, up to the quantity required for each component.

  • If there is sufficient Free Stock of each component the order will be fully allocated; if there is not sufficient Free Stock then the remaining Free Stock will be allocated.

Note: If in Works Order Settings the option Allocate/Issue as much as possible by default is ticked and Auto Pick Traceable Quantities on Allocation is not ticked, Cim200 will prompt to allocate traceable numbers to traceable components as the Works Order Number is selected or the screen opens. These selections can be changed by highlighting the traceable component and clicking Select Traceability.

4. To accept these changes, click OK.

5. If any of the allocated components are traceable and Auto Pick Traceable Quantities on Allocation is ticked in Works Order Settings, the traceable numbers will be allocated automatically.

 

To Allocate a specified quantity automatically

1. Select the allocation or issue date.

2. Ensure the tick box is ticked and select Suggest Qty from the drop-down list. This opens the Suggest Qty screen.

3. Enter the quantity of the built item you want to allocate stock for and click OK to confirm. The order will be allocated as much as possible to meet what is required to make that quantity.

4. To suggest as much as possible (restricted by the original required quantity and the current available stock), select the As much as possible option.

5. To save the suggested quantities, click OK.

 

To Allocate a quantity manually

1. Ensure the tick box is unticked, then select a component and click in the Allocate Now column to manually enter the quantity to be allocated.

  • You cannot enter a quantity greater than the Free Stock quantity.

Note: If the component is traceable and Auto Pick Traceable Quantities on Allocation is ticked in Works Order Settings, the traceable numbers will be allocated automatically but can be overridden manually using the Select Traceability button. If the setting is not ticked, the traceable numbers to allocate must be selected after leaving the Allocate Now field.

2. Repeat the process for other components as required.

 

To Amend traceable numbers to be allocated

Once a traceable component is set to be allocated and the traceable numbers have been selected, either manually or automatically, it is still possible to view and correct the selected traceable numbers before completing the allocation.

1. Select a traceable component.

2. Click Select Traceability to view the traceable numbers selected.

3. Make any changes as required.  Once finished, ensure that the total selected still matches the Total Quantity at the bottom.

4. Click OK to complete any changes or click Cancel to exit without saving any changes.

 

To Add a component to the Works Order

Whilst allocating stock, components can be added to the order and allocated within the screen.  Adding components here will add them to the Works Order but not to the Bill of Materials.

1. Click Add Component.  The Add Component window appears.

2. Type or select the component you want to add from the Product Code drop-down list.

3. Enter the Quantity required for the order.

4. To add the component, click Add.

5. Enter a quantity in the Allocate Now field to allocate it to the order.

6. Issuing this item will add it to the Works Order and perform the allocation.

7. Click OK to complete any changes or click Cancel to exit without saving any changes.
