Introduction

Use these settings to choose how to process and manage additional features provided by Cim200 in the Commercials modules.

Open: Stock Control > Utilities > System Set Up > Cim200 Settings | Commercials

Select from the following settings:

Configure Quick Text Options

Comment type lines can be added to all Sales documents – Orders, Quotes, Proformas, Returns – as a means of adding additional notes which have no associated charge or cost but can be included in both internal and customer-facing documentation.

As standard, the comment must be free text entered by the user each time.

Cim200 allows for comments to be setup in advance and then used for quickly and easily populating document lines, by clicking on the Quick Text button on the line entry screen.

Click Configure Quick Text Options to setup required comments for use in Sales document entry.

Maintain Package Types

Cim200 adds a Courier Details button to the Sales Order Confirm Goods Despatched screen, giving the ability to record details of the consignment being despatched.

Various details can be recorded against each Sales Order despatch, including the Package Type being despatched. The package types which are available for selection can be setup in advance, through the Maintain Package Types button.

Click Maintain Package Types to add any required package types.

Quotation Settings

Quotations Settings

When configuring a quotation line, the system will use the Markup Percentage as a starting point for determining the markup applied to the cost of the components and operations included in the line. This markup percentage is typically set by the company based on their pricing strategy and desired profit margins. Markup percentage will be calculated from separate markup % for cost headings defined in Maintain Markup Types.

Primary Costing Method:

Cost + Markup – Calculate Cost for Quotation line and apply a set Markup for cost headings defined in Markup Types, which can be customer specific.

Standard Price Calculation – Standard Price will be used

Zero Price – Zero price will be used

 

Secondary Pricing Method

Secondary Pricing Method will be available if Primary Pricing Method is set for Standard Price Calculation and the stock item doesn’t use Standard Cost Calculation

By applying the Markup Type, for a customer the system can automatically calculate the selling price for the configured quotation line, taking into account the cost of materials and any additional factors considered in the pricing structure.

However, it’s important to note that this Markup Percentage can be manually adjusted if needed. Users have the flexibility to modify the markup percentage for specific quotation lines to accommodate different pricing strategies or customer-specific requirements.

Click Maintain Markup Types to create different Markup configurations.

Maintain Markup Types

For configuring quotation lines, the selling price can be calculated automatically from the calculated cost price, based on a Markup percentage.

Use Maintain Markup Types to determine the Markup percentage to apply to each different cost type, and to add as many different Markup Type profiles as are required.  Each customer can then be assigned the appropriate Markup Type from the Pricing tab on the Amend Customer Details screen.

Once setup and assigned, markup percentages are used to apply a Unit Selling Price to new quotation lines.  They can be overridden on each quotation line, to affect the selling price.

Markup Types are only used for configured quotation lines if the Primary Pricing Method or Secondary Pricing Method option is set to Cost + Markup.

Enable Quotation Revisions

Enable Quotation Revisions, this will add a 3 digit suffix to the quotation number to maintain Quotation revisions.

Suffix is sequential number

When amending a Quotation, a new revision of quote is created. One revision will be live, and other revisions of the quote will be marked as Lost.

You can change a Lost revision of a quotation to Live and convert to a Pro-Forma or Sales Order.

Open: Sales Order Processing > Quotations > Manage Quotation Revisions

 

Quotation Revisions Mandatory

When quotation revisions are made mandatory, every time Amend Quote is opened, a new revision of a quotation is created and the latest version is made live.

Supplier OTIF Defaults

Default options can be set here for use in the Supplier OTIF Enquiry screen, which analyses supplier performance based a comparison of when deliveries were made against purchase orders versus their due dates.

All options can be overridden on the Supplier OTIF Enquiry screen.

  • Include archived orders: Determines whether the enquiry will include archived purchase orders or not.
  • Only show fully received lines: Determines whether only order lines that have been fully received are included in the enquiry results or not.
  • Include free text lines: Determines whether free text order lines are included, or only stock item lines.
  • Exclude orders with no requested date: Determines whether order lines with no requested date are included in the enquiry results or not.

Available To Promise Defaults

To enable Available To Promise functionality in Sales Order line entry, ensure the option Disable available to promise is unticked.

Default options can also be set here for use in the screen, which provides estimated availability dates for all lines on an order, where there is a shortage.

All options can be overridden on the Available To Promise screen.

  • Update all lines to latest date: This option determines whether all lines should use the latest ATP date if the Apply Dates process is used.
  • Generate multiple promised dates per line: This option determines whether the system offers multiple promised dates, based on what stock will be available, for example, you may be able to promise half of the order quantity on one date, and the remainder at a later date, or, if it should just use the latest date when the whole order quantity will be available.
  • Use Warehouse Hierarchy: This option determines whether warehouse hierarchy should be used when calculating ATP dates. There may be stock or replenishments available elsewhere in the warehouse hierarchy that could be transferred to satisfy this order.
  • Include replenishment sources: This options allows you to select which replenishment sources should be included when calculating the ATP dates.
  • Treat overdue orders as due today: These options allow you to decide whether overdue purchase orders or works orders should be treated as due today or not.

Cleardown SOP Audit Records

Cim200 automatically keeps a log of certain changes made to SOP Documents, which are visible on the Audit Log tab in the Amend Sales Order/Quotation/Pro Forma/Return and View Sales Order/Quotation/Pro Forma/Return screens.

As the audit log builds, the list of changes can grow large; it is a useful housekeeping exercise to remove the oldest changes, so that it is easier to see more recent changes.

Click the Cleardown SOP Audit Records button to clear down audit log records.

  1. Specify the age range of SOP audit records to remove in the Date Range calendar boxes.
  2. To remove all changes made within the specified date range, leave All Users ticked. To remove only changes made by a certain user untick All Users and select the required user on the User Name select list.
  3. Click OK to proceed and review the number of records that will be removed.
  4. To proceed with the cleardown click Yes. To abort the cleardown click Cancel.
