Archive Works Order

Over time, the list of Works Orders will grow, and although this list can be searched and filtered, there may be a need to archive your older ‘Completed’ and ‘Cancelled’ works Orders to reduce the number of ‘Live’ orders showing on the Works Order lists.

To archive a Works Orders, go to Tools > Works Orders > Archive Works Orders.

The Archive Works Orders screen now gives you two ways to archive. Use the radio buttons at the top of the screen to choose between them:

  • Tick Batch Archive to archive every Complete or Cancelled Works Order up to a chosen date. This is the original behaviour.
  • Tick Single Works Order to archive one specific Works Order on its own.

Within the ‘Archive Works Orders’ screen, the date can be selected to archive up to (By default this will be 1 year before the current date), and will show you the number of Works Orders that will be archived.

Batch Archive

With Batch Archive ticked, the date picker becomes available. By default this is set to one year before the current date. The screen will tell you how many Works Orders that date covers.

Select a different date if needed and then click Archive.

Single Works Order

With Single Works Order ticked, the date picker is disabled and the Works Order Reference drop-down becomes available. Type or select the reference of the Works Order you want to archive. Only Works Orders with a status of Complete or Cancelled appear in the list.

Click Archive once the reference is selected.

You will then be asked to confirm that you want to proceed. Click Yes to archive. This will move all the records for the chosen Works Order, or Works Orders, into the ‘archive’ tables, where they can be viewed through the separate View Archived Works Order screen.

Once the process has finished you will be taken back to Cim50 and your list of Works Orders will no longer contain the Works Orders that have been archived.

Note: It is not possible to un-archive a works order.

Depending on the number of Works Orders to archive this process may take a few minutes.
