Available to Promise

Cim200 includes the ability when raising a sales order, quotation or proforma invoice to determine when items can be shipped to a customer, enabling you to advise them accordingly.

This functionality relies on the latest Cim200 MRP data, along with any new sales, purchase or works orders created since MRP was last run, and the Bill of Material information (for manufactured items) to determine what stock will be available, when it will be available and therefore when it is available to promise.

 

Processing Available to Promise

Open: Sales Order Processing > Sales Orders List

  • Select the sales document to amend.
  • Select the New or Amend button above the list view.

From the menu:

Open: Sales Order Processing > Sales Orders > Enter New Order (Full/Rapid/Trade)
Open: Sales Order Processing > Quotations > Enter New Quotation
Open: Sales Order Processing > Pro Forma Invoices > Enter New Pro Forma
Open: Sales Order Processing > Sales Orders > Amend Order
Open: Sales Order Processing > Quotations > Amend Quotation
Open: Sales Order Processing > Pro Forma Invoices > Amend Pro Forma

If amending, select the sales document from the drop-down list. Select the document from the grid and click Amend Order, Amend Quotation or Amend Pro Forma.

On the relevant order, quotation or pro forma entry screen, once you have entered all the items the customer whichs to order/be quoted for, press the Available to Promise button at the bottom of the screen.

You will then be presented with a list of the stock items included on the order. Select which items you wish to calculate the ATP date for and press Calculate.

The system will then process each line individually, determining what replenishments are available to satisfy this order (if any) and from that, determining what the earliest promise date could be.

Note: Where no existing replenishments are available to satisfy this order, the item lead time (supplier lead time or manufactured build time) will be used. If there are replenishments available but they are not due to be received into stock before the items lead time, then the items lead time will be used.

Once calculated, the Available to Promise column will be updated with the earliest promise date for each line item, with the Status column indicating the ATP status.

  • MRP: Indicates that the order line has been processed through MRP and the ATP date is based on the tagged replenishments from the latest MRP run.
  • Calculated: Indicates that the order line ATP date was calculated during this ATP session.
  • Zero Outstanding Quantity: The order line has already been fully allocated/despatched. There is no demand for ATP calculations to process.
  • Unable to Calculate: This indicates the ATP calculations were unable to be processed for this item. For purchased items this would indicate there is no preferred supplier specified. For manufactured items, that there is no active BOM.
  • Previously Calculated: This indicates the that the ATP date was calculated during an earlier ATP session, but MRP has not yet been processed to include this item.
  • Not Calculated: The user hasn’t selected to calculate ATP dates yet.

 

Note: Once an available to promise calculation has been processed, any existing replenishments that were considered to satisfy the demand will have an ATP Link created, which works much like a Planning Link, in so far as it is temporary and may change when MRP next runs, at which point the Sales Order would be considered by MRP and the appropriate replenishments tagged accordingly.

The purpose of the ATP Link is to stop any other new orders which undergo ATP calculations using the same replenishment before MRP is next run.

 

Options

The Options button on the ATP screen enables you to determine a number of options that will impact the calculated ATP dates.

Update all lines to latest date: This option determines whether all lines should use the latest ATP date if the Apply Dates process is used.

Generate multiple promised dates per line: This option determines whether the system offers multiple promised dates, based on what stock will be available, for example, you may be able to promise half of the order quantity on one date, and the remainder at a later date, or, if it should just use the latest date when the whole order quantity will be available.

Use Warehouse Hierarchy: This option determines whether warehouse hierarchy should be used when calculating ATP dates. There may be stock or replenishments available elsewhere in the warehouse hierarchy that could be transferred to satisfy this order.

Include replenishment sources: This options allows you to select which replenishment sources should be included when calculating the ATP dates.

Treat overdue orders as due today: These options allow you to decide whether overdue purchase orders or works orders should be treated as due today or not.

Apply Dates

Press the Apply Dates button to apply the calculated ATP dates for each order line to the Promised Date(s) on the relevant order line.
