From SFDC, counted quantities can be entered against existing counts. Stocktakes must first be created and count sheets printed in the main Sage 200 program via the Manage Stocktake screen.
To enter counted quantities into a stocktake, press the Stock Control button from the main menu. Then press the Stocktake button to view available stocktakes.
Only stocktakes with status ‘Sheets Printed’ or ‘Entering Counts’ will be visible.
If required, use the Search bar above the list to find a stocktake record based on the Stocktake Name, Warehouse Name, Last Activity Date or Method.
Select the required stocktake to enter counted quantities for, then select Enter Values to proceed.
Note: A count cannot be entered for a stocktake if another user is accessing the same count, either in SFDC or the main program.
Using A Barcode Scanner
Note: You can either scan the barcode directly using a traditional handheld barcode scanner, or you can scan it via your device’s camera. To scan via the camera, click on the camera icon. A camera preview window will be displayed, and once a barcode is present within that window, it will be scanned automatically.
The item to count can be selected by either scanning the barcode for the Stock Item code, Batch number or Serial number being counted.
For non-traceable items, scan the Item Code (program the scanner to add automatically a carriage return, or hit the Enter button on the device after scanning) then on the screen that opens enter the counted quantity in the Actual Qty field. Press the Save button to save the entry.
For Serialised items, scan the Item Code or Serial number counted. If scanning the Item Code, once scanned:
- A screen opens prompting for the serial numbers counted.
- Deselect any that were not found, and use the Add Serial button to add any serial numbers counted that Sage was not expecting.
- Press the Save button to save the changes and commit the total selected serial numbers as the counted quantity.
If scanning the Serial number, once scanned:
- If only one item in the count has that Serial number, then press Save to continue.
- If multiple items in the count have that Serial number, select the item to count then press OK, then press Save to continue.
For Batch numbered items, scan the Stock Item code or Batch number counted. If scanning the Stock Item code, once scanned:
- A screen opens prompting for the batch number(s) counted.
- The expected quantity is displayed in the Quantity field; update any as required, and use the Add Batch button to add any batch numbers counted that Sage was not expecting.
- Press the Save button to save the changes and commit the total batch numbers as the counted quantity.
If scanning the Batch number, once scanned:
- If only one item in the count has that Batch number, enter the quantity counted then press Save to continue.
- If multiple items in the count have that Batch number, select the item to count then press OK. Enter the quantity counted then press Save to continue.
Manual Selection And Entry
Counts can be entered without use of a barcode scanner, by entering the counted quantities directly into the item list:
- From the list find the item to be counted, using the Search bar to help if required, then enter the counted quantity in the Actual Qty field. Use the up and down arrows to adjust the expected quantity, or overtype the number.
- Select the next item to count.
- If the item counted is traceable, the list of traceable numbers for the item now appears. Make any adjustments needed to match the traceable quantity selected to the Actual Qty previously entered. Press Save to continue to the next item.
- If the item counted is non-traceable, continue to enter the Actual Qty for the next item.
Once counted quantities have been entered, press Go Back to exit the count. Further counted quantities can be entered into the stocktake again, in either SFDC or the main Sage program, until the stocktake is Completed in the main program. It is not possible to Complete the stocktake in SFDC.
